Keep Track Of What Is In The Shop, Who Owns It, And What Is Owed

Know whose item is in the shop, what work it needs, and what is still owed. Keep service jobs, layaways, consignments, and pickup details together so staff can follow through when the customer returns.

Overview

The Work After The Sale Still Needs A Ledger

A service ticket can become a pickup, a layaway can remain open across several payments, and a consigned or stored item can belong to someone else while it sits in your shop. MFS Exchange keeps the customer, item, status, money, and next action connected across those workflows.

Gunsmith Work Orders

From Intake To Pickup

  • Customizable service types — define your shop’s service catalog and gunsmith rate.
  • Technician assignment per work order so workload is visible across the bench.
  • Customer updates — work order emails keep the customer informed, with a ready-for-pickup notice you can resend.
  • Status workflow with notes at each step — received, in progress, waiting for parts, shipped to and returned from the manufacturer, ready for pickup, and picked up.
  • Parts on order — a purchase-order line can be linked to the work order waiting for that part, with the link visible on both screens.
  • Customer details from the ticket — create a new customer or edit an existing one right from the work order.
  • Work order PDFs printable with the customer's firearm details, requested services, and pricing breakdown.
  • Work order statistics showing tickets by status, active and overdue work, and revenue for the month and overall.
Layaway

Payment Schedules With A Clear Completion Step

  • Configurable payment schedules — set the down payment, the installment cadence, the number of payments and the forfeit terms.
  • Pay installments online from the customer’s account or a payment link, so they don’t have to come in for every payment.
  • Completion-aware payoff records the final balance and routes the linked order toward completion when the required clearance is present. Existing orderless or legacy layaways may need an explicit staff conversion action.
  • Deposit-first balance protection — the balance isn't drawn down until the deposit is actually collected, and full or over-half deposits are accepted up front.
  • Layaway account view and reminders show the items, balance, payment milestones, payment history, and due or overdue follow-up, with layaway emails in your store’s WooCommerce styling.
  • Layaway worklists and automations — the Action Center lists past due and stalled plans, and automations can email customers, tag plans or notify your CRM.
  • Layaway Program report with completion and forfeit rates, collected and outstanding balances, margin, days to outcome and an employee breakdown, exportable to CSV.
  • Default policies configurable per shop — layaway fee, payment frequency, number of payments, forfeit period, reminder timing and wording, and receipt terms.
Consignment, Storage & Prize Holds

Ownership, Custody, And Payouts

  • Consignment module with consignor profiles, commission rates, item pricing, and status workflow.
  • FastBound acquisition path for consigned firearms — configured intake can carry serial number, manufacturer, and caliber data into the selected bound-book workflow.
  • Consignor records and statements — a running contact log, sold dates and unsold counts per consignor, a printable Sold Items report and payout statements, and an email to the consignor when an item sells.
  • Auction on GunBroker — send a consigned gun to a GunBroker auction from the consignment row, with a starting bid, reserve and optional Buy Now.
  • Commission tracking with per-item or per-consignor commission rates and automatic split calculation on sale.
  • Convert an unsold consignment into a trade-in in one step — set your buy price and pay the consignor in cash, store credit, or onto a gift card. The consignment is stamped “Converted to Trade-In” and linked to the buyback order for a fully auditable trail.
  • Printable consignment sheet with all item details for the consignor's records.
  • Storage lockers — store-keyed or customer-locked lockers with custody records, bound book entries for store-keyed items, claim tickets, rent billing and reminders, and a Storage page in the customer’s account.
  • Raffle-prize holds can track the payer and the eventual recipient while the item is held; this is prize custody, not raffle-ticket sales or a drawing engine.
Buyback & Trade-In

Walk-In Trades With The Next Step Visible

  • Buyback and trade-in processing with ID scanning, payment processing, and — for firearms — an automatic FastBound acquisition.
  • Non-firearm buybacks — buy back optics, gear, and accessories, not just firearms. Non-regulated items run the same payout math, skip firearm intake and FastBound, and auto-create a local inventory record so you can resell them immediately.
  • Several firearms on one buyback, filed as one acquisition, with help matching the seller to an existing FastBound contact.
  • Barrel-length capture on firearm buybacks, recorded right on the acquisition.
  • ID scanning via PDF417 at intake to capture seller information on firearm acquisitions.
  • Discount-aware payout — the calculated offer reflects any applied discounts.
  • Payout processing through the POS — cash, store credit, or gift card.

Included With MFS Exchange

Service, layaway, consignment, and buyback workflows are part of the MFS Exchange build. They use the shared shop record for customers and items; selected bound-book, payment, communication, or storage services are configured and scoped during onboarding.
