Inventory You Can Actually Work From
A firearms shop's stock includes owned local items, distributor availability, dropship lines, serialized units, NFA items, open purchase orders, trade-ins, buybacks, and consignments. The useful question is which items you own, where each came from, what it cost, and what still needs attention.
The POS and storefront use the same WooCommerce catalog. Distributor feeds, GunBroker, and bound-book services connect through integrations with their own update cadence, while local receiving and physical counts keep your shelf record grounded in what is actually in the shop.
Receive The Shipment, Keep The Cost
Create POs with custom statuses (Draft, Pending, Backordered, Shipped, Received, and more), receive against them, track partial receives, and carry landed cost into product COGS.
- Custom PO statuses with a real status workflow — Draft → Pending → Shipped → Received, with backorder support and edit-after-publish flows.
- Receive workflow with per-line quantities, partial receives, and serial-number entry for FFL line items, filed in your bound book (FastBound, Orchid or paper) on receive.
- Landed cost tracking — distributor fees, shipping, and inbound costs allocate per unit so COGS reflects what you actually paid, not just the line price.
- Inline receive panel for quick one-off PO updates without leaving the list view, plus a full receive form for multi-line POs with serialized firearm allocation.
- Allocation to customer orders at receive time — if a customer pre-ordered a unit, the receive flow can flag it directly into their order with a serial number.
- Automatic PO import — distributor orders placed through FFL Cockpit come in nightly as purchase orders, including dropship orders.
- Dead product lines — when a distributor deletes and recreates a product, open order lines pointing at the old one are found and matched to the live product by UPC or distributor number, for staff to approve.
- Parts for work orders — link a PO line to the work order waiting for that part, with the link visible on both screens.
- Safer receiving — an optional blank-quantity receive form with a Receive all remaining button, one-click labels for everything just received, and an audited override when a distributor marks a firearm wrong.
Order Cost & Margin Tracking
Every order gets its own profitability meta box on the order edit screen — landed unit costs autofilled from the PO that received the units, distributor fees broken out per PO, inbound/outbound/reship shipping captured, and margin calculated against revenue (order total minus tax, minus refunds).
- Color-coded cost sources — green for "from PO," pink for "dropship" distributor cost, amber for "weighted average," indigo for "manually entered" — so staff can see which numbers are sourced and which are approximate.
- Real dropship costs — dropship sales carry the distributor’s cost into the order, so they don’t show as pure margin.
- Distributor fee auto-discovery per PO so multi-source orders break out correctly across vendors.
- Staleness banner appears when the order total changes after a profitability snapshot, so you know your margin numbers may need a recalc.
- Server-side recomputation on save and recalc — returned totals give the team an authoritative reference when order inputs change.
Receiving, Counting, And Restocking
- Barcode restock scanner for fast receiving — scan a barcode, type a quantity, and push to stock. Distributor price pulls can be configured where that source provides them.
- Physical stock count tool with variance tracking and configurable thresholds — count a section, see what doesn't match, adjust with one click. Counts can be paused, resumed and edited.
- Use local stock — swap a distributor line on an order to matching shelf stock from the order screen.
- Duplicate listing control — Product Hide can hide distributor listings that duplicate your own in-stock unit, automatically or after staff review, and bring them back when yours sells.
- Find it fast — with MFS product search, the admin product list and the register find products by model, caliber, barcode or serial.
- Inbound shipment tracker with "Ready for Pickup" transitions for ship-to-store distributors (Davidson's-style) — coordinate the customer handoff while required transfer and check clearance remain separate release steps.
- Pricing layers — distributor cost-plus, MAP enforcement, member pricing, and per-product overrides all stack predictably.
- Local inventory from buybacks — when you buy an item back from a customer, MFS can create a local inventory record using the entered buy price and source details as its cost basis. Trade-ins and non-firearm purchases can become sellable stock without a PO.
- Consignment inventory handling — consigned pieces live in the same stock model as owned inventory, flagged so payouts, commission, and ownership stay straight through to sale.
- Local receiving outside the feed network — enter stock bought directly from a manufacturer, local seller, or other source, then reconcile the opening count and cost with your team.
- Item notes per product, like the box or magazines that come with it, shown at the register and on the order.
- Used inventory tagging (optional) gives used intake from buybacks, consignments and purchase orders a consistent condition tag.
- Product change log (optional) records who changed a product’s price, stock or cost.
- Assembly products track component quantities and cost. Each master can include one serialized firearm plus its components, and can be dismantled when the package needs to come apart.
Spot Slow Stock Before It Sits
Rolling 13-month sales reports grouped by manufacturer or category show what's moving and what's stuck. Fresh Arrivals, Stock Pulse history and low-stock reorder emails, approval-based markdown recommendations, and AI cross-sells help your team decide what to feature or review.
Included With MFS Exchange
Core inventory tools are part of MFS Exchange. Distributor accounts and feed subscriptions, opening inventory data, and any connected purchasing services are reviewed and scoped during onboarding so the catalog reflects the sources your shop actually uses.
