A Counter Your Team Can Follow
A cashier needs a quick sale screen. A manager may need to approve a refund or adjust a drawer. A gunsmith or range employee needs a narrower path. MFS Exchange lets you assign access by activity, use PIN handoffs at shared stations, and trace sales, refunds, and adjustments to the employee who performed them.
Permissions By Activity
- Granular permission entries across POS, range, consignment, layaway, work orders, time clock, and other modules, grouped into the access sets your shop uses.
- Pre-built Manager and Cashier roles with sensible defaults — drop in new staff and assign in seconds.
- Custom access sets for shops that need specific combinations, such as range-only or gunsmith work.
- POS-only role for in-store staff who don't need WordPress admin access — lock them to the POS terminal.
- Per-module permissions decide who can open each POS tab and take each action, from taking cash to deleting a layaway or consignment record.
- Report access by role, so each role sees only the reports it needs.
- Order record controls (optional) limit who can trash, restore or permanently delete orders, with a required reason and an audit record.
- Driver’s license privacy — revealing a full license number takes its own permission and is logged.
PIN-Based Register Handoffs
- Switch users with a PIN — staff change who's ringing at the register with a quick numeric PIN instead of a full logout and re-login, keeping the line moving.
- Accurate attribution — a PIN switch issues that employee's own login under the hood, so every sale, refund, and adjustment is recorded against the person who actually did it.
- Built for shared stations — one terminal, many employees: cashiers hand off the counter throughout the day without ever losing accountability.
- Register locks — the walk-away lock belongs to each register’s own login, and an optional auto-lock locks a register after a set number of idle minutes.
Time And Drawer Accountability
- Employee time clock with clock-in / clock-out per employee, daily / weekly / monthly hour summaries, and exportable reports.
- Cash drawer sessions with open and close balancing — each session is tied to an employee and station so cash variance is traceable.
- Pay-in / pay-out support inside a session for petty cash, change runs, or non-sale cash movements.
- Reconciliation history kept per drawer session for audit purposes, with session numbers you can search.
- Over/short alerts to managers above a threshold you set, an optional blind close, and an optional count of checks at close.
- Cash drawer reports showing daily totals, variance, and per-employee performance.
Know Who Did What
- Sale attribution on every order — who sold the merchandise, who took the payment if that was someone else, and which register rang it up.
- Staff panel on the order (optional) showing who sold, held, took each payment or refund, and added each line, with a Sold By column and an employee filter on the Orders list.
- Order and product change logs (optional) recording who created or edited an order, and who changed a product’s price, stock or cost.
- Buybacks credited to the employee who took them in, with an optional cashier column and filter on the buyback report.
Included With MFS Exchange
Staff permissions, PIN handoffs, the employee time clock, and cash drawer sessions are part of the MFS Exchange build. During onboarding, we map the access and reconciliation steps to your stations, managers, and operating hours.
